**Job Summary:**

We are looking for an exceptional Office Manager / Administrative Assistant / Appointment Setter to join our team. This pivotal role requires an individual with the skill set to effectively communicate with prospects, clients, and staff, while efficiently monitoring all daily tasks and functions. The ideal candidate will have a strong background in business development, lead conversion, and administrative management. Experience in the Financial Services industry preparing new account applications for Annuities, Life Insurance and Investment Advisory and managing our REDTAIL CRM platform is desired. This position is a unique opportunity to contribute to the growth and success of our financial advisory practice.

**Key Responsibilities:**

- Open and close the office daily and ensure it is prepared for business operations.

- Answer phone calls promptly and professionally, directing them to the appropriate parties.

- Contact potential clients, discussing their financial concerns and needs, and converting leads into appointments.

- Actively call prospects to schedule appointments, and maintain follow-up and reminder calls.

- Prepare new account applications for Annuities, Life Insurance & Investment accounts.

- Maintain accurate records within Redtail CRM client management software.

- Develop and implement workflows for all office functions for Marketing, Prospecting, Client Onboarding & Servicing.

- Delegate daily tasks to appropriate staff along with monitoring status and completion of such tasks.

- Cultivate and nurture cold leads, converting them into valuable appointments.

- Register and screen prospects for upcoming events and workshops.

- Greet incoming clients and offer exceptional service, including providing beverages as needed.

- Prepare for client appointments and assist in translating appointment dictation.

- Manage incoming and outgoing mail, including large mailings.

- Maintain the advisor's outlook calendar, ensuring awareness of daily appointments.

- Oversee office supply inventory and order supplies as necessary.

- Assist in various aspects of new business processes as required.

- Prepare meeting materials and folders, ensuring delivery of financial plans.

- Arrange conference rooms for client meetings.

- Assemble new client kits and welcome packages.

  • - Assist in setting up, cleaning up, and checking in for workshops and seminars, as well as other duties as needed.

**Qualifications:**

- Minimum of 1 year of Business Development and Lead Conversion Experience is required.

- Proven sales aptitude and experience is essential.

- Exceptional communication, presentation, listening, and analytical skills.

- Demonstrated ability to manage time effectively in a high-volume, high-energy environment.

- Must possess a humble, entrepreneurial, hardworking mindset, and maintain a positive "can-do" attitude.

- Proficiency in REDTAIL CRM, Microsoft Office Suite, including Excel, Word, Outlook, and PowerPoint.

- Quick learner with the ability to adapt and efficiently learn new tasks.

- Self-motivated with an excellent work ethic, capable of working independently and with discipline.
